Sending some document or detail information on particular things, we usual choose an attachment for that it cannot be write in the body of the message and most of us often choose word files as the attachment. In fact, choosing word files as the attachment is not wise. It is usually preferable to send plain text in the body of the message or HTML or PDF rather than a Word file.

1, Many versions of Word have a habit of revealing details about your computer and saving deleted text in a way that the recipient can uncover (e.g. law firms have ended up revealing damaging information). 2, Word files can transmit viruses, so they should only be opened if you are expecting the message.

3, Word files are slow to send and waste space. A typical one page document can be ten times bigger and slower in Word than in web format (HTML) or plain text. Many people have a limited amount of space in their mailboxes.

4, the word files can be edit by receivers, it is not safe on sending some important document or data on business.

Often, if the document is very important and urgent for receivers, send PDF as attchment or HTML files is a good choices for it is unlimited by the language system and cannot be edited by receivers. If the document is large and not so important, it is better to put a file on a web site and then send a pointer to it (a URL) rather than attaching it to an email message. The email is smaller and faster, and when the recipient gets it and clicks on it they will always see the latest version.
